D2C Retailer Cuts Month-End From a Full Day to Under an Hour
A UK-based online retailer processing roughly 1,800 transactions per month across Stripe, PayPal, and direct bank transfer. Two-person finance team using Xero.
The Challenge
The founder was spending 6–8 hours each month reconciling payout batches against bank entries. Stripe settlement delays meant order dates rarely lined up with deposit dates, and PayPal held funds created further timing gaps. Month-end checks regularly spilled into Saturday mornings.
The Solution
They started with ReconcileIQ to match Stripe and PayPal CSV exports against their Xero bank feed. Within the first month, the matching engine was handling the settlement-date offsets automatically. They added LedgerIQ about six weeks later for cash-flow reporting across the three payment channels.
The Results
The first reconciliation run flagged processor-fee entries that had been missed for several months. Ongoing, the founder now reviews exceptions rather than checking line by line, and month-end no longer runs into the weekend.
